How to Assign Archival Policies to Viva Engage Workspaces

In this article, learn how to assign Archival policies to SharePoint team sites for Viva Engage workspaces

You can use Orchestry to archive the SharePoint Team site that is included with Viva Engage communities.  These team sites include any files uploaded to the community and as well as other content directly added to the site.

Assigning Archival Policies to Viva Engage Workspaces

Policies can only be assigned to existing Viva Engage workspaces.

NOTE: Archival policies cannot be assigned to Viva Engage workspace templates at this time.

Are the Viva Engage Community Contents Archived too?

No, Viva Engage community posts, questions, polls, community configurations cannot be archived with Orchestry Archival policies.  Please consider exporting the community data before deleting these workspaces if the content needs to be retained.

What is Archived from Viva Engage Workspaces?

Just like a regular (group-connected) SharePoint Team site, Orchestry can archive the site libraries, permission configurations, and site page configurations.

Can I Set the Community to Read-Only like the SharePoint Site?

No, Orchestry cannot set the communities to read-only at this time.   If you must preserve the community, it is recommended that you configure the policy to:

  1. Modify the group membership so only authorized users can access it.
  2. Change the group permissions to PRIVATE.  This way users cannot discover and re-join the group.
  3. Hide the workspace from search and Copilot.  This will further reduce unintentional discoverability of the workspace and contents
